Church Administrator, St Luke’s Watford

Church Administrator at St Luke’s is a key role which sits at the heart of church life — supporting our ministry, enabling our mission, and helping St Luke’s to be a place of welcome, worship, and care. The Church Administrator ensures the smooth running of daily operations and provides essential support to the Vicar, staff team, volunteers, and congregation.

The work of the Church Administrator includes:
Overseeing the church building and facilities, managing bookings and payments for church and community groups and liaising with contractors and tradespeople. Preparing rotas using ChurchSuite, ensuring service orders and EasyWorship are ready each week and supporting arrangements for weddings, funerals, and baptisms.
Serving as the main point of contact for the church office, producing newsletters, parish leaflets, and online communication, liaising with the Diocese and supporting the finance team with payment processing.
Assisting the pastoral team by communicating needs appropriately and offering a warm, calm, and compassionate presence to those who contact the office.

We are looking for a committed Christian, who is willing to be a worshipping, participating member of St Luke’s (an Occupational Requirement under the Equality Act 2010)

Safeguarding training (Basic Awareness and Foundation) must be completed and refreshed every three years. The postholder must work within Church of England safeguarding policies and procedures.

Duties and Responsibilities

The Role involves:
Facilities:
Act as a church key‑holder and monitor key access
Oversee the day‑to‑day running of the church building and facilities
Organise bookings and payments for church and community groups
Purchase necessary supplies for the building
Liaise with tradespeople and contractors
Keep records of maintenance work completed and maintenance due

Services and Events:
Prepare rotas and share them with team members using ChurchSuite
Ensure service orders and EasyWorship are ready each week
Receive enquiries about funerals, marriages, and baptisms, and assist with arrangements
Maintain an organised filing system (digital and hard copy)
Manage petty cash

Communication:
Organise and manage the church office, acting as the main point of contact
Compile and process internal and diocesan communications
Manage social media and the church website; produce newsletters, magazines, and parish leaflets
Liaise with and assist the finance team by processing payments and gaining approval
Ensure personal data is stored securely

Pastoral:
Liaise with the pastoral team regarding any needs or concerns

Other Responsibilities:
Attend meetings for support, guidance, or supervision
Comply with all safeguarding requirements
Know how to respond to and report safeguarding concerns or allegations

Person Specification

We are seeking someone who:
Has strong IT skills, including Microsoft Office and confidence using online systems
Has excellent organisational and administrative skills and can meet tight deadlines
Is efficient, attentive to detail, and communicates clearly in writing and in person
Has excellent interpersonal skills: approachable, friendly, calm
Has a pastoral heart for those contacting the office
Has a confident, positive telephone manner
Understands and maintains appropriate confidentiality
Is willing to develop skills and engage with training
Treats everyone with dignity and respect
Works well as part of a team, can delegate appropriately and support others
Is self‑motivated
